C. READING Read the following text!

My Ambition

My Ambition is to be a nurse. This thought came into my mind when I was in

primary five. That year, I was admitted to hospital for an operation. I realized that the

work of a nurse is very important and that is why I hope to be a nurse when I grow up.

I think I am suited for nursing because I am not frightened by ugly wounds or the

sight of blood. I am also not afraid of darkness. This will prove very helpful when I

become a nurse because every nurse has do night duties.

At present I am a member of my school Junior Red Cross Society. I learn

something about first aid and home nursing. In this way I prepare myself to take on the

job of a nurse in future.

In addition I often go to the national Library to borrow books on nursing because

I would like to deepen my knowledge on it.

At present I am still a student. When I finish my secondary education. I hope to

become a nurse in one of the hospitals. With much hard work and some luck. I hope to

pass the examinations and become a qualified nurse.

UNIT III DESCRIBING CHARTS AND GRAPHS

INTRODUCTION

Very often in business situations you may find yourself having to give a presentation

describing changes and trends in business or progress of your company. In such

situation, sometimes you have to use visual information like tables, graphs, and charts which can

help explain concepts clearly. This chapter will discuss about how to explain the information

included in tables, graphs, charts and change the information you get from tables, charts, and

graphs into writing.

A. A LOOK AT THE FIGURES

Every year at the Healthcare Exhibition in Switzerland manufacturers of

medical equipment show their new products to customers from all over the world. The

two bar charts below give information about the number of exhibitors and the number of visitors.

The following is Kristin Rufli's presentation explaining the bar charts. As you read,

1. find the reasons she gives for the changes A, B, C, D

2. explain the figures in each chart

Objectives: 1. Students will be able to explain the charts and graphs 2. Students will be able to understand the use of past tense 3. Students will be able to understand the use of past continuous tense

Kristina:

In 1987, the Healthcare Exhibition moved from Geneva to a bigger exhibition

centre in Zurich, so many more exhibitors were able to attend. But the first exhibition in

Zurich was badly organised and, because of this, the number of exhibitors dropped in 1988.

The organiser wanted to make sure that this did not happen again, so, in 1989, they reduced

the cost of a stand and sent letters to hundreds of companies, advertising the exhibition. In

1991 the organisers opened the exhibition to non-European companies and in that year 118

companies attended.

Over 85,000 visitors came to the Healthcare Exhibition on the first day. This was due

to a good publicity campaign and because May the 1st is a public holiday in Switzerland.

However, on the second day the weather was bad and many people stayed at home. On

Wednesday, another important exhibition — Salvacon 93 — opened in Zurich, and the

numbers of visitors fell again. Because of this, the organisers decided to make entrance to the

exhibition free from Thursday. Their idea worked and 300,000 people visited the exhibition

over the last four days. Adopted from Business First

ACTIVE/PASSIVE VERBS FORM

Sentences can be active or passive. Therefore, tenses also have "active forms" and "passive forms." You must learn to recognize the difference to successfully speak English.

Active In active sentences, the thing doing the action is the subject of the sentence and the thing receiving the action is the object. Most sentences are active.

Thing doing action] + [verb] + [thing receiving action]

Examples:

Passive In passive sentences, the thing receiving the action is the subject of the sentence and the thing doing the action is optionally included near the end of the sentence. You can use the passive form if you think that the thing receiving the action is more important or should be emphasized. You can also use the passive form if you do not know who is doing the action or if you do not want to mention who is doing the action.

[Thing receiving action] + [be] + [past participle of verb] + [by] + [thing doing action]

UNIT V FINDING A JOB

APPLICATION LETTER

Application letter is one of the documents to be included when we apply for a job.

In fact, application letter is like an introduction letter or covering letter in which we

mention all of the documents and requirements attached. In Indonesia, the most common

documents and attachments to be enclosed with the application letter are:

1. Resume or Curriculum Vitae

2. Photo

3. Copies of certificates or diplomas

4. Copy of identification card (ID card)

5. Letter of recommendation

6. Health certificates

7. Police clearance

There are two types of application letter, they are:

1. Solicited letter

Solicited letter is an application letter that is sent to a company that advertises its vacancies

through the media.

2. Unsolicited letter

Unsolicited letter is an application letter that is sent to a company although you do not know

whether there is a vacancy or not in that company.

Most jobs will have been advertised in the papers or specialist publications, and

before you write your application letter, you should study the wording of the advertisement

carefully. Find out exactly what the employer is looking for (for example, a certain amount

of experience, familiarity with particular language, etc.). Then, in your application letter,

try to show that you have all the qualities, qualifications, and experience that the employer

is looking for.

In other countries, application letter is also called "Sales Letter". This is because in

some way we are both salesperson and product which try to attract an employer's attention

and persuade him/her to grant you an interview for a job.

In Indonesia, there are no such hints suggested to be included in a letter of

application. The most important items to be mentioned are:

1. what job or position you are applying

2. how you have heard about the job vacancy

3. when you are ready to begin work or to be interviewed

The following are worth language points to be looked at when writing a letter for a

position:

1. Expressing how you get the information about the vacancy.

If you got information from the advertisement I have read your advertisement in ... (where) on ... (when) I am applying for ... which you advertised in ... on ... With reference to your advertisement in ... Mr. Robbie Williams, who works in your Accounts Department told me that you will soon have a vacancy for If there is no advertisement or recommendation I am writing to ask if you might have a vacancy in your ... Department

2. Expressing when and where you graduate from:

I just graduated from ... this year,

I completed ...

This year I will finish ...

UNIT VI JOB INTERVIEW

Objectives: 1. Students will be able to understand common interview questions 2. Students will be able to face an job interview

Page 65: Modul Bahasa Inggris III

Politeknik Pos Indonesia

Bahasa Inggris III

62

Nobody hires anyone for any kind of job without an interview. Before you set out for an interview, think about what your prospective employer expects to discover from the meeting. The interview won’t show him how well you work, but it will give him an idea of how you handle yourself, how you respond to other people, whether you are punctual and make a good appearances, and how interested you are in the job.

THINKING ABOUT THE INTERVIEW

Your appearance 1. Dress neatly and appropriately for the interview. 2. Choose traditional footwear, uncuffed and well-shined. 3. Wear a minimum of jewellery, but wear a wristwatch to keep track on time. 4. Do the basics before you go (bathe, put on clean clothes, clean your fingernails, comb

your hair, etc.) 5. Use fragrances sparingly, and avoid excessive make up. 6. Choose a neat, well-groomed, conventional hair style. 7. Get a good night’s sleep, so you’ll feel rested. 8. Sit up straight and be aware of nervous habits (tapping feet, playing with fingernails.

Try to keep your hands in your lap.)

Your behaviour 1. Be on time. (As a matter of fact, be a little early it will help you relax. Plan your arrival

for 10 to 15 minutes before the interview.) 2. Greet the interview by name (if possible), with a smile and direct eye contact. 3. Be polite and smile at appropriate time. 4. Listen attentively so that you can give intelligent responses. 5. Offer a firm but gentle handshake if the interviewer extends a hand. 6. Take a seat only after the interviewer invites you to be seated or has taken his or her own

seat. 7. Look straight at the interviewer. Don’t stare but keep eye contact. 8. Be positive! Be confident! (Even if you don’t entirely feel that way). 9. Don’t chew gum or smoke in the interview. 10. Don’t drink or take drugs beforehand. (They won’t help). 11. With a warm smile and a handshake, thank the writer when you leave.

Your speech 1. Speak plainly and clearly. Make sure you can be heard. 2. Do not use street talk. How you speak may be more important for office work and

public contact work than other kinds of work, but good speech will always make a good impression.

3. Answer questions wisely: Keep responses brief, clear, and to the point. Avoid exaggeration, and convey honesty and sincerity.

4. Be enthusiastic! (Everyone has a different way of being enthusiastic. Find your way!) Salary discussions 1. Put off discussion of salary until late in the interview, if possible. 2. Let the interviewer initiate the discussion of salary.

Page 66: Modul Bahasa Inggris III

Politeknik Pos Indonesia

Bahasa Inggris III

63

3. If asked, state that you would like to receive the standard salary for the position in question.

Other important things 1. Double-check the location and time of the interview. 2. Be prepared to sell yourself. Why would you be good at this job? 3. Go over questions you might be asked. 4. Know about the company you are applying. (What do they do, are there any brochures

you can read?) 5. Don’t say bad things about past employers even if they are true. 6. Don’t make excuses about for past mistakes. Admit that you made them and that you

learned from them. 7. Before you leave, was there anything that you wanted to tell the employer about yourself

that you didn’t get chance to say. 8. Don’t say you want the job because you need the money. (They know that) 9. Just in case, bring your I.D or driver’s license with you. 10. Leave your friends and walkman at home. 11. Tactfully ask when you will be advised of the decision on your application.

Question asked during interviews Although the specific questions will vary enormously, almost all interview questions are addressing one or three basic underlying questions. The three underlying questions are: 1. Who are you? 2. What can you do for us? 3. Why do you want to work for us? Preparation is the key to a successful interview. If you prepare around these three underlying questions, you can usually handle any specific question with self confidence and assurance, because you can recognize the underlying question and respond to that. Here are some ways to prepare for the three underlying questions. 1. WHO ARE YOU

You could refer to: Where you were born and grew up. Your family and place in it. You schooling. Work experience Interest Special experiences such as travel Achievements you are proud of. Goals. Preparation: Write down a short ‘story’ about yourself and practice saying it out loud. It should not last more than or three minutes at most.

2. WHAT CAN YOU DO FOR US

64

You could refer to: Natural abilities & talents Learned skills Transferable experience Specialized knowledge Personal quality Preparation: Build up vocabulary of words to describe yourself with Label your skills and abilities. Identify key experiences and achievements. Write them down and practice saying them out loud

WHY DO YOU WANT TO WORK FOR US

This sort of question allows you to demonstrate your knowledge of the company. Its: Range of activities Organizational structure Clients or customers ‘Image and/or market niche’ Financial situation Plans for growth Competitors Training programs Prospect for advancement

companies including Rossi Consultants, Quasar Insurance and Sardi & Sons. I enjoy playing tennis in my free time and learning languages.

OR

Interviewer : I’ve just graduated from the University of Singapore with a degree in Computers. During the summers, I worked as a systems administrator for a small company to help pay for my education.

Note: This question is meant as an introduction. Do not focus too specifically on any one area. The above question will often be used to help the interviewer choose what h/she would like to ask next. While it is important to give an overall impression of who you are, make sure to concentrate on work related experience. Work related experience should always be the central focus of any interview (work experience is more important than education in most English speaking countries). Interviewer : What type of position are you looking for? Candidate

:

I’m interested in an entry level (=beginning) position OR I’m looking for a position in which I can utilize my experience. OR I would like any position for which I qualify. OR

Note: You should be willing to take an entry level question in an English speaking company as most of these companies expect non-nationals to begin with such a position. In the United States, most companies provide many opportunities for growth, so don’t be afraid to start from the beginning! Interviewer : Are you interested in a full-time or part-time position? Candidate : I am more interested in a full-time position. However, I would also consider

a part-time position. Note: Make sure to leave open as many as possibilities as possible. Say you are willing to take any job, once the job has been offered you can always refuse if the job does not appeal (=not interest) you. Interviewer : Can you tell me about your responsibilities at your last job? Candidate : I advised customers on financial matters. After I consulted the customer, I

completed a customer inquiry form and catalogued the information in our database. I then collaborated with colleagues to prepare the best possible package for the client. The clients were then presented with a summarized report on their financial activities that I formulated on a quarterly basis.

Note: Notice the amount detail necessary when you are talking about your experience. One of the most common mistakes made by foreigners when discussing their former employment is to speak too generally. The employer wants to know exactly what you did and how you did it; the more detail you can give the more the interviews know that you understand the type of work. Remember to vary your vocabulary when talking about your responsibilities. Also, do not begin every sentence with “I”. Use the passive voice, or an introductory clause to help you add variety to your presentation.

Interviewer : What is your greatest strength? Candidate : I work well under pressure. When there is a deadline (=a time by which the

work must be finished), I can focus on the task at hand (=current project) and structure my work schedule well. I remember one week when I had to get 6 new customer reports out by Friday at 5. I finished all the reports

Page 71: Modul Bahasa Inggris III

ahead of time without having to work overtime. OR : I am an excellent communicator. People trust me and come to me for advice.

One afternoon, my colleague was involved with a troublesome (=difficult) customer who felt he was not being served well. I made the customer a cup of coffee and invited both my colleague and the client to my desk where we solved the problem together.

OR I am a trouble shooter. When there was a problem at my last job, the

manager would always ask me to solve it. Last summer, the LAN server at work crashed. The manager was desperate and called me in (=requested my help) to get the LAN back online. After taking a look at the daily backup, I detected the problem and the LAN was up and running (=working) within the hour.

Note: This is not the time to be modest! Be confident and always give examples. Examples show that you are not only repeating words you have learned, but actually do posses that strength.

Interviewer : What is your greatest weakness? Candidate : I am overzealous (=work too hard) and become nervous when my co-

workers are not pulling their weight (=doing their job). However, I am aware of this problem, and before I say anything to anyone, I ask myself why the colleague is having difficulties.

OR I tend to spend too much time making sure the customer is satisfied.

However, I began setting time-limits for myself if I noticed this happening. Note: This is a difficult question. You need to mention a weakness that is actually a strength. Make sure that you always mention how you try to improve the weakness.

Interviewer : Why do you want to work for Smith & Sons? Candidate : After following your firm’s progress for the last 3 years, I am convinced that

Smith & Sons are becoming one of the market leaders and I would like to be part of the team.

OR I am impressed by the quality of your products. I am sure that I would be a

convincing salesman because I truly believe that the Atomizer is the best product on the market today.

Note: Prepare yourself for this question by becoming informed about the company. The more detail you can give, the better you show the interviewer that you understand the company.

Interviewer : When can you begin? Candidate : Immediately. OR As soon as you would like me to begin.

Manager (PM).

PM : Let’s start with your educational background. Mr. Irwanto, you are a

college graduate. Can you tell me what your major was?

RI : Accounting, and I am a graduate of University of Indonesia.

PM : Could you tell me what kind of work experience you’ve had?

RI : A month after graduation, I got a job at PT KIMA Finance Company as

a budget officer. I worked there for two years. Then I quit and

worked as an Assistant Finance Controller at PT ACA Finance Company.

PM : Do you remember what years exactly you worked for those two

companies.

RI : The exact years? Well, I worked for PT KIMA from 1992-1994, and, I

have been with PT ACA from 1994 up to now.

PM : May I know why you quit your first job?

RI : Actually I liked my first job very much. But since they were having

some serious financial problems, they had to lay off the junior staff.

And I was one of them.

PM : I see. What about your present job? Why do you want to leave the

job?

RI : Your company is considered one of the big five. A large company is

usually very well-organized and offers more challenging jobs. It will be

a great opportunity to work for such a company. So, when I saw your

advertisement for this position, I was very interested.

PM : Uh huh. One last question. Can you tell me why we should hire you?

RI : I will give you several good reasons. First of all, I’m honest,

hardworking, and eager to learn. I am also able to work individually as

well as on team. Besides, my valuable experience working in the

financial division of a similar company will certainly be of a great

benefit to your company. And I always try to do my best in any task

assigned to me.

Public relation

Interviewer : What’s your name?

Candidate : Anie Widyawati.

Interviewer : What town do you come from?

Candidate : Yogyakarta, to be exact Bantul region.

Interviewer : What drives you learn Public Relation in University?

Candidate : Comunnicating with others is very interesting, mostly dealing with

community where we live. Back in my neighborhood, I’ve got a lot of

friends from any different social class and background, different

cultures, different character, you know Yogyakarta is like miniature of

Indonesia, everyone come to learn in university there.

Interviewer : What do you reap from your friendship?

Candidate : I learn many things about how to deal with someone from different

culture and I’m used to seeing others from their personal angle of

viewpoint. Let’s say when I talk to Batak I need not be shy and to

watch my conversation. Harsh utterances is very common for them,

still, although sometimes they look so rude, I must understand that

they don’t mean to do so. What I mostly like from them is the

openness they show in daily conversation. It’s very easy to deal with

them as they can not hide their emotion in front of me.

Interviewer : What else do you learn from your surroundings?

Candidate : Compared with my own cultures as Javanese, it’s very difficult to

know someone’s intention instantly. Everyone is like wearing masks

on their saily activities. Despite smile and warmth someone shows, he

might have hate us, so watch your way in speaking with most

Page 75: Modul Bahasa Inggris III

Politeknik Pos Indonesia

72

Javanese. But one thing, we, from Java culture excel among others, we

can hide and control emotion while dealing with others. For me it’s

pretty hard to conceal my feelings, though. One thing is sure,

regardless traits and cultures someone has, there is one principle

applies here. In all cultures and custom, there must be good guy and

bad guy.

Interviewer : Have you ever been dealing with foreigner?

Candidate : you bet, almost every day I encounter foreigner wandering around.

They are visiting Yogyakarta quite often to see the beautiful scenery

and tourist resorts there.

Interviewer : Do you have any idea what they like and what they don’t?

Candidate : They like the originality and pure traditional atmosphere we have.

It’s a matter of taste. I once guided a British tourist who intended to

visit Yogyakarta Palace. She asked me a lot about history and culture

and the palace. She was very curious to know about history and

eventually she was very pleased and satisfield with my answer. What

they really don’t like about us is if they were seen as foreigners as

aliens from different planet. Weird as they look like, white skin, they

wanted to blend with us. And more annoyingly, worse, they are afraid

of the criminals in our country. Just like my guest from Australia, he

has lost his camera when visiting Borobudur, someone had stolen it

from him a moment he was not unaware.

Interviewer : For people your age, you are very observant about cultures. By the

way, do you speak other foreign languages besides English?

Candidate : Thank God, Yes. I couldn’t agree more. I speak French and Japanese

as well. Since two years ago, I’ve been learning both languages my

own self. Foreign languages is like a song to me. There is no day

without speaking or listening to foreign languages. Even in my house

I always stay tune to broadcasting programs or news.

Interviewer : Any experience with Japanese?

Page 76: Modul Bahasa Inggris III

Politeknik Pos Indonesia

Bahasa Inggris III

73

Candidate : So far, no. But I read much about them, their cultures and traits.

Besaides, I like Japanese martial art, that’s why more or less I can

comprehend with their wants and discipline.

It’s a matter of time I will make for best Public Relation. That’s why I

am applying for the position.

Interviewer : Thanks for your answer, please wait the result next Monday.

Marketing Manager

Interviewer : So, you are so sure that in the future we will prevail and

successfully build marketing’s network worldwide, is that right?

Candidate :Absolutely, on the second thought, the company has already built

that network you told before. This company only needs right

person to enlarge this network throughout the world. And that

needs through determination.

Interviewer : It writes here that you want to apply marketing manager position.

Do you have any experience in the marketing world?

Candidate : Yes, sir, you bet. I’ve been marketing staff in local otomotif

company since 1990. It’s been 9 years before I became marketing

manager in the same company.

Interviewer : Why did you decide to move out?

Candidate : It’s long story sir, but I’ll try to explain. The company I worked

in before had successfully won the competition in the market

against other companies, the thing is the owner there is very

ignorant with our strategy to widen the market thus decreasing our

motivation to develop. He only cared about profit without

considering competitors new breakthroughs in opening their

market. I can’t keep up with the owners wants so that we make

slight conflict, that’s why I choose to move out.

Interviewer : So, I suppose you are a very idealist that you can’t make a deal

with your bosses wants?

Page 77: Modul Bahasa Inggris III

Politeknik Pos Indonesia

Bahasa Inggris III

74

Candidate : Not really, actually. I’m a very conducive employee as long as

my boss’ wish is realistic and not too ignorant. I am looking

forward to cooperating with some one who can understand the

employees want in the sake of the company. I can cooperate with

my boss to enhance the product sold thus developing the

company’s marketing.

Interviewer : Only one thing you should know, we like workaholic guys here.

can you stand harsh and hectic working atmosphere here? Are you

relatively tough?

Candidate : I’m ready to work under all circumstances not to mention

(including) densely scheduled work. I am used to working day and

night for reaching the company’s goal.

Interviewer : Do you have any idea on how to handle troubled employee?

Candidate : Dealing with troubled employee, we have to be patient and

gentle so as not to make it worse. First of all we’ve got to

understand the situation he faces at the moment. Try to think in

the employee’s point of view. Perhaps he ahs a problem at home,

a divorce may be then understand his position better. Analyze the

problem he has, trying to find solution. Pick the solution which

best overcome the problem and put it into action. Recommend the

way out to the troubled employee. We have to help troubled

employee solve the problem.

Interviewer : Do you find feedback important in conducting your duty?

Candidate : Certainly. Applying marketing strategy, for instance, must have

consequences. The consequences could be good like a rise of

products sold or vice versa could be bad like a decrease of selling.

To find out (figure out) whether marketing strategy is effective or

not we need feed-back from the market and the employees.

Market decides the efficacy of marketing strategy while the

employees are the one who know the condition on the application.

Feed-back from both of them can revise our strategy to be better

and better, That’s why marketing manager must be open to critics

Page 78: Modul Bahasa Inggris III

75

and advice from both market and employees, let’s say, in the term

of anquette or questionnaire.

Interviewer : Do you know what authority and what responsibility are?

Candidate : Authority is privilege a leader has to make a decision which

brings impact to the development or deterioration of the

organization.

While responsibility is a capability and willingness to bear any

consequences occurring because of the decision a leader has

made.

Interviewer : How can you constructively criticize an employee?

Candidate : By emphasizing what is necessary for the employee to have,

reminding about what she should do and what he shouldn’t do.

Freshing his memory in such a gentle manner and soft utterances,

just like awaking him from sleep. Last but not least, trust the

employees in fulfilling their duty, as trust can grow seeds of

responsibility among the employees. Speak to them heart by heart,

attract them by compassion, then manager can reap and harvest

the result of competency. Build their confidence rather than fear.

Interviewer : Perhaps you have read our advertisements about facilities you

might taste and enjoy if you are recruited. How many salaries do

you want?

Candidate ; As marketing manager, I won’t ask more than US $ 2000,-. It is

reasonable salary, isn’t it?.

Interviewer : We will think about it. But how if we have made a deal to pay

you that amount of money, but we can’t afford to pay you in the

midst of your contract?

Candidate : As far as I’m concerned, Japanese likes consistency and

persistency. I am sure your company won’t break the promise as

mentioned in the contract, but if so, legal action will be

committed. let the law decide.

Interviewer : What if it is you who can’t stand our hard work and quit in the

middle of the contract?

Page 79: Modul Bahasa Inggris III

Politeknik Pos Indonesia

Bahasa Inggris III

76

Candidate : I won’t do so and I’ll try to be gentle. If I break the promise in

the contract, I will return my salary beforehand. But I assure you

once more that I won’t do such silly thing.

Interviewer : After being marketing manager, what position do you want, on

the next occasion?

Candidate : Of course higher position if I could. But the main point is

position is not that important, to be able to join your company is

really a big honour for me. I’ll try to do my utmost to escalade

your marketing efficacy.

Interviewer : How/ Do you have strategies on that? Or are you only bluffing?

Candidate : Of course not, may be I will apply bench mark like what I did in

last company because it proved to work well to increase our

selling until 50%. It’s highly worth it. I’ll try to make the product

not only a strong need, but more as life style, just like what one

phone cell made its brand. People used to make a phone call only

whenever needed, but right now, they are using their phone cell as

a trend. Student won’t be funky unless they hold phone cell (hand

phone). Employees will only be considered successful if they have

mobile phone numbers to contact. Everyone’s invited to have

phone cell. It has made new class of community. That’s exactly

how I will make our cars easily accepted by the people all over the

world, as typical brand of elegance which will make new class of

community. And other numerous strategies will wait to apply

based on the business condition. Do I make myself clear?

Interviewer : We are so proud to hear it. OK, that’s all for the interview.

Please wait until this Monday to see the result. Thank you very

much.

Task Prepare yourself to have an interview test. Your teacher will become

your interviewer.
